- Respond to basic employee inquiries regarding benefits, time & leave and company policies and procedures.
- Prepare On-boarding package for New Hires.
- Complete on-boarding process in HRIS.
- Prepare new hire folders for orientation.
- Collect and coordinate signed offer letters and job descriptions.
- Prepare uniforms, ID cards and name badges for orientation.
- Create and maintain employee files.
- Ensure all employee documentation has been correctly filed.
- Ensure that all documents and policies from employees have been signed as required.
- Create employee benefits files, medical files and ensure they are stored correctly.
- Ensure all files are secured at all times.
- Respond to request for verification letters.
- Employment verification letters.
- USCG required verification letters - Sea-time letters.
- Completes requests for Drug Consortium letters.
- Provide support to employees as it relates to HRIS access, password resets and general information.
- Process termination paperwork along with data entry in HRIS/Payroll.
- Assist with Random Drug Testing program and compliance.
- Process employee I-9 Verification within 3 days of employee hire date and complete E-Verify process.
- Ensure all documents are current and forms are accurately completed.
- Follow up with employees regarding missing / expired documents.
- Uniform Tracking and Distribution.
- Ensure all employees receive a uniform.
- Maintain uniform log for items that have been distributed.
- Track and inventory uniforms and advise when pars have been reached.
- Employee Engagement.
- Prepare monthly birthday and anniversary notifications.
- Plan and prepare monthly birthday celebrations.
- Update monthly employee notification PowerPoint.
- Assist with employee events.
- Responsible for payroll/HRIS data entry and integrity.
- Maintain all licensing and credentials for mariner and safety sensitive positions; tracks for expirations and renewal. Verify with corresponding agency.
- Other duties as assigned.
- Bachelor’s degree in business, human resources, or a related field.
- Minimum of two (2) years of relevant experience in Human Resources work.
- Proficiency with using Microsoft Office, Word, and Excel.
- Experience in using any Applicant Tracking System and Human Resource Information System is a plus.
- Able to work independently as well as part of a team with flexibility and willingness to learn and to take initiative on variety of tasks and projects.
- Strong organizational skills with demonstrated attention to detail and focus.
- Strong analytical, verbal, written and interpersonal communication.
- Ability to protect the confidentiality and privacy of others in addition to company documents and records when privy to sensitive information.
- Ability to demonstrate good judgment and discretion.
- Ability to effectively prioritize, organize and perform multiple tasks with varying deadlines.
- Able to obtain TWIC (Transportation Worker Identification Credentials).
- Bilingual (Spanish & English) speaking, reading, and writing.
- Must be able to travel to various PR Ferry locations.
